Key Responsibilities (may vary depending on the specific role):

Executive Support: Provide comprehensive, high-level administrative and executive support to C-suite executives, senior VPs, or department heads.

Calendar Management: Masterful management of complex calendars, including scheduling meetings, appointments, and travel arrangements (domestic and international) with meticulous attention to detail and proactive problem-solving.

Communication Hub: Act as a primary point of contact, screening calls, managing correspondence, drafting communications, and ensuring timely and professional interactions with internal and external stakeholders.

Meeting Preparation: Prepare agendas, presentations, reports, and other materials for meetings; attend meetings, take minutes, and follow up on action items.

Travel Coordination: Seamlessly arrange complex travel itineraries, including flights, accommodation, transportation, and visa requirements.

Expense Management: Prepare and submit expense reports accurately and on time.

Project Coordination: Assist with special projects, research, and data gathering, often requiring independent judgment and initiative.

Confidentiality: Handle highly sensitive and confidential information with the utmost discretion and integrity.

Office Management: Oversee general office administration, ensuring a smooth and efficient workflow for the executive and their team.

Relationship Management: Build and maintain strong professional relationships with internal and external stakeholders.

Problem Solving: Proactively anticipate needs, identify potential issues, and implement effective solutions with minimal oversight.
Qualifications:

Experience: Minimum of 2 years of progressive experience as an Executive Assistant supporting C-suite executives or senior leadership in a fast-paced, demanding environment.

Education: Bachelor’s degree preferred but not required; relevant certifications in administrative professional programs are a plus.

Technological Proficiency: Expert-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with various virtual meeting platforms (e.g., Zoom, Microsoft Teams). Familiarity with PROJECT MANAGEMENT SOFTWARE and CRM systems is a plus.

Organizational Skills: Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously without compromising quality.
