Role Overview:

We are seeking a proactive, detail-oriented Senior General Virtual Assistant to support a growing transformation coaching business. This role is ideal for a VA who enjoys working with personal brands, content-driven businesses, and systems-oriented founders.

The VA will support lead generation, content operations, light creative execution, funnel support, and administrative workflows—helping the founder stay focused on coaching, speaking, and business growth while ensuring consistent momentum behind the scenes.

This is a part-time role (10 hours per week) to start, with potential to expand as the business grows.

Scope of Work:

  1. Social Media & Content Support
  • Assist with content execution based on founder-provided ideas
  • Light video editing (short-form content) and basic post-production support
  • Create and format carousel posts using provided ideas, photos, and testimonials
  • Organize, name, and manage content files to ensure nothing is lost
  • Manage a content calendar with recurring weekly themes
  • Schedule and post approved content across platforms (Instagram, LinkedIn, TikTok, etc.)
  • Repurpose content across platforms and formats (social → newsletter → LinkedIn, etc.)
  1. Lead Generation & Outreach
  • Research and identify leads within a defined target demographic
  • Support cold outreach via email, LinkedIn, or DMs using existing scripts
  • Improve and personalize outreach messaging to sound human and natural
  • Track leads, conversations, and pipeline status
  • Assist with DM automation and responses (using ManyChat or similar tools)
  1. Funnel & Newsletter Support
  • Assist with setup and management of funnels for lead magnets
  • Support email marketing via Mailchimp or ConvertKit
  • Create and format a monthly newsletter based on founder-provided notes
  • Help track subscribers and engagement
  1. Coaching Operations & Admin
  • Create intake forms and feedback forms (Typeform, Google Forms, etc.)
  • Maintain databases and trackers (Airtable or similar)
  • Keep systems organized and documented
  • Recommend tools or workflows that improve efficiency
  1. Visibility, Podcast & Speaking Support
  • Assist with podcast guest outreach (both inviting guests and pitching the founder)
  • Help manage podcast scheduling, guest briefs, and reminders
  • Support creation and organization of press kits and speaker one-pagers
  • Pitch the founder to podcasts, panels, and conferences
  • Assist with sponsor decks or pitch materials for events when needed
  1. Future / Bonus Support (Optional)
  • Research or assist with AI tools (e.g., AI avatars, content automation tools)
  • Support experimentation with new systems, tools, or workflows

Qualifications:

  • Senior-level General Virtual Assistant experience
  • Strong background in social media management, content operations, and lead generation
  • Comfortable supporting personal brands, coaches, or creatives
  • Highly organized and systems-minded
  • Strong written English communication skills
  • AI-proficient, with the ability to ensure outputs sound natural and human
  • Able to work independently while following clear instructions
  • Detail-oriented with good judgment and follow-through

Tools & Platforms: (Experience Preferred)

  • Social platforms: Instagram, LinkedIn, TikTok
  • Content & design: Canva (required), basic video editing tools
  • Automation & messaging: ManyChat
  • Email & funnels: Mailchimp or ConvertKit
  • Forms: Typeform, Google Forms
  • Project management: Asana
  • Databases & tracking: Airtable
  • Booking & links: Stan Store (or willingness to learn)

Shifts & Hours:

  • Starting with a minimum of 10 hours per week; semi-flexible schedule
  • Prefer availability overlapping with Berlin time zone, but not required
  • Work may be completed asynchronously, with reviews during Berlin business hours
  • Target Start Date: Within 1–2 weeks of hiring
  • Ideal start: mid-February (following shortlist, trial task, and interview)
