Sales & Lead Generation Virtual Assistant (Appointment Setter)
Company Overview
The client operates a full-service digital marketing agency (Scopex Media) focused on helping small to medium-sized service-based businesses establish and grow their digital presence.
The goal is to become a one-stop shop for small businesses launching or improving their digital footprint.
Primary Role Objective
The VA’s main responsibility is to generate qualified leads and book appointments with potential clients.
👉 Important:
This is NOT a closing/sales role. The VA will:
- Initiate contact
- Qualify prospects
- Book appointments
The client will personally handle sales calls and closing.
Core Responsibilities
- Lead Research & Qualification
- Review an existing database (~1,800 leads)
- Analyze each business:
- Website presence
- Social media activity
- Digital gaps/opportunities
- Identify relevant services to pitch (e.g., no website → offer web design)
- Cold Calling (Primary Channel)
- Conduct 20–30 calls per shift (approx. 2 hours/day)
- Reach out to small business owners (primarily service-based)
- Deliver a clear, friendly, and concise pitch
- Handle basic objections
- Transition interested leads into booked calls
- Appointment Setting
- Book qualified prospects into the client’s calendar
- Ensure accurate capture of:
- Contact details
- Business info
- Needs/interest level
Target KPI:
- Minimum 3 qualified bookings per week
- CRM & Tracking
- Log all activities in CRM:
- Calls made
- Outcomes
- Follow-ups
- Notes from conversations
- Maintain clean and organized pipeline tracking
- Follow-ups & Lead Nurturing
- Reconnect with warm leads
- Track timing for follow-ups
- Maintain consistent communication where needed
- Script Collaboration & Optimization
- Work closely with the client to refine:
- Call scripts
- Messaging approach
- Provide feedback on what’s working/not working
Target Market
- Small to medium-sized businesses
- Primarily service-based industries, such as:
- Plumbing
- Roofing
- Salons / Hairdressers
- Dental clinics
- Local service providers

Working Schedule
- 10 hours per week (initial)
- Focus days:
- Tuesday, Wednesday, Thursday
- Ideal calling window:
- Late morning or afternoon (client’s time zone – Mountain Time)
Onboarding Process
- First week: Learning Curve
- Study internal documents
- Understand services, target audience, and messaging
- Gradual ramp-up before full outreach
Communication & Collaboration
- Daily communication via:
- WhatsApp or Telegram
- Regular updates on:
- Call performance
- Lead feedback
- Challenges
