Role Overview:
We are seeking a detail-oriented Project Management & Marketing Virtual Assistant to support the day-to-day execution of marketing and business projects. This role is designed to help ensure tasks are completed on time, contractors are followed up with, and projects continue moving forward. The position works closely with the Project Manager and focuses primarily on marketing-related initiatives, including website updates, webinars, and sales support materials.
This is an execution-focused role that blends light project management, marketing coordination, and hands-on administrative support.
Scope of Work:
The Virtual Assistant will be responsible for the following:
Track and follow up on ongoing projects to ensure progress and timely completion
- Coordinate with internal team members and external contractors to confirm deliverables are completed according to specifications
- Review work submitted by contractors (primarily website-related) to ensure it meets outlined requirements
- Update website content using a visual website builder (e.g., Webflow or similar platforms)
- Organize company information and assets stored in Google Drive for easy access and presentation
- Prepare basic presentations, documents, and marketing materials as needed
- Assist with sales and marketing support tasks, including gathering and preparing information for prospects
- Set up webinars, including creating Zoom links and coordinating logistics
- Prepare and schedule webinar reminder emails using the company’s email marketing platform
- Maintain project documentation and task tracking using project management tools
Qualifications:
- Minimum of 2 years of professional work experience (supporting a business or organization)
- Excellent English proficiency (spoken, written, and reading comprehension)
- Prior experience with project coordination or project management
- General understanding of digital marketing concepts, especially for corporate-facing businesses
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks, follow up proactively, and work independently

- Google Workspace (Docs, Sheets, Drive, Calendar)
- Notion
- Asana
- Webflow (or similar website builders such as WordPress)
- Zoom
- Email marketing platform (experience preferred; training can be provided)
- Hubspot
Shifts & Hours:
- Part-time: Starting with a minimum of 10 hours per week
- Approximately 2 hours per day, Monday to Friday
- Semi-flexible schedule but must work within business hours (8:00 AM – 4:00 PM EST)
