Role Overview

Seeking a highly organized, proactive, and detail-oriented Virtual Assistant to support:

  • Partner onboarding & CRM management
  • Cold & warm outreach lead generation
  • Email campaign setup & automation support
  • LinkedIn prospecting
  • WordPress profile review & publishing
  • Light marketing coordination (tier-based partner marketing support)

This role combines lead generation + partner relationship admin + email marketing support.

The VA will not handle sales calls or negotiations. Nina will manage all sales conversations. The VA’s role is to build pipeline, nurture via email, manage backend processes, and ensure smooth onboarding and CRM hygiene.

 

Core Responsibilities

Partner Onboarding & CRM Management (Capsule CRM)

  • Add new partners into Capsule CRM
  • Maintain CRM hygiene (accurate tagging, segmentation, notes)
  • Update records with meeting notes
  • Build and maintain a structured partner pipeline
  • Manage partner records from onboarding to active status
  • Monitor inbox
  • Liaise with partners via email (no sales calls required)

WordPress Profile Review & Publishing

When a new partner signs up via Stripe:

  • Receive notification of new partner signup
  • Log into WordPress
  • Review submitted partner profile
  • Make minor edits/amendments
  • Publish profile (within 48-hour SLA)
  • Notify partner once profile is live
  • Handle profile-related queries

Future goal: Operate independently without needing Nina’s approval for standard publishing.

Lead Generation & Outreach

Cold Outreach (High Priority)

  • Work from Nina’s pre-defined target lists
  • Identify decision-makers via LinkedIn
  • Build outreach funnel process
  • Send cold emails using tools such as:
  • Warm up email accounts properly
  • Control sending volume to avoid domain blocking
  • Track replies & responses
  • Follow up systematically
  • Book intro sessions via Calendly
  • Move interested prospects into CRM pipeline

Warm Outreach

  • Re-engage existing contact lists
  • Email past contacts
  • Nurture via structured follow-up sequences

 

Email Marketing (Kit / ConvertKit or Similar)

Ideal but similar tool experience is also welcomed: Kit (ConvertKit) experience.

Responsibilities may include:

  • Setting up email campaigns for partners
  • Creating & managing:
    • Broadcast emails
    • Segmentation
    • Basic automations
    • Sequences
  • Supporting newsletter setup
  • Organizing messy workflows
  • Building structured email flows

 

Tier-Based Marketing Coordination

Surveyors UK has 3 partner tierS

VA may assist with:

  • Coordinating announcements
  • Scheduling posts
  • Supporting campaign setup
  • Ensuring partners receive tier benefits

 

LinkedIn Prospecting

  • Connect with target companies
  • Send initial LinkedIn outreach messages
  • Funnel prospects into email sequence
  • Maintain structured tracking
