Responsibilities

General Administrative Support

  • Provide ongoing administrative support to the Operations Manager (and occasionally the Business Manager).
  • Manage schedules, reminders, emails, and documents to ensure smooth daily operations.
  • Assist with setting up and maintaining Trello or other project management tools for tracking deliverables and progress.
  • Support the rollout of new speaker support programs by coordinating assets, updating CRM entries, and executing predefined administrative processes.
  • Assist in creating and managing automated drip campaigns and updating client databases.
  • Prepare short reports or summaries for internal meetings and check-ins.

YouTube Channel & Content Support

  • Help organize, optimize, and upload existing short videos (2–3 minute vignettes) to the YouTube channel.
  • Edit or reformat video titles, tags, and descriptions to make content AI-searchable and SEO-friendly.
  • Maintain content consistency and assist in repurposing existing social media materials for YouTube.

Requirements

  • Proven experience as a General VA, Admin Assistant, or similar role.
  • Strong organizational and communication skills.
  • Familiarity with Trello or similar project management tools.
  • Basic knowledge of YouTube content uploading, optimization, and tagging.
  • Understanding of CRM systems and basic marketing automation tools.
  • High attention to detail and reliability in meeting deadlines.
  • Flexible schedule with some overlap in US business hours (EST).

 

Work Schedule & Engagement

  • Initial: 5–7 hours per week for the first three months.
  • Ramp-up: Increase to 10 hours per week starting January 2026, aligned with the launch of the speaker support program.
  • Schedule: Flexible, with availability for short weekly or as-needed meetings.

 

Additional Important Notes

  1. Monthly website maintenance (1–2 hours/month) will be handled by a dedicated VCP web developer from our technical pool, scheduled upon request or need.
  • Website Technical Support (Periodic / Monthly Task)

o   Coordinate with VCP’s technical team to conduct monthly website checks, ensuring security patches and plugins are updated.

o   Assist in ensuring ADA and accessibility compliance, as well as readiness for AI/SEO optimization (AEO/GEO).

o   Communicate identified website issues or update needs to the Operations Manager and VCP’s assigned web developer.
