Multi-Business Executive & Operations Virtual Assistant

 

Location: Dubai (Primary Time Zone) | UK (Secondary)
Initial Engagement: Part-Time (Minimum 10 hrs/week, shared resource)
Potential Growth: Scale to Full-Time

ROLE OVERVIEW
We are seeking a highly organized, proactive, and versatile Executive & Operations Virtual Assistant to support two entrepreneurs managing multiple ventures across different industries:

  1. Startup Toy E-Commerce Business (UK-based, manufacturing in India, operating from Dubai)
  2. Recruitment Business
  3. Charity Organization

This role requires someone who can wear multiple hats — admin, operations, basic finance, e-commerce support, email marketing setup, and recruitment admin support.
The ideal VA is detail-oriented, commercially aware, tech-comfortable, and able to bring initiative and structure into growing businesses.

CORE RESPONSIBILITIES

General Administrative Support (Across All Businesses)

  • Calendar coordination & task tracking
  • Form submissions & registrations
  • Document organization
  • Email management support (if required)
  • Research tasks
  • Process documentation
  • Weekly reporting of completed tasks
  • Supporting Monday check-ins & weekly planning

Finance & Basic Bookkeeping Support
(No advanced accounting required)

  • Maintaining Excel/Google Sheets trackers
  • Tracking business income & expenses
  • Basic profit/loss tracking
  • Updating financial spreadsheets
  • Organizing receipts/invoices
  • Creating simple financial summaries

Required Skills:

  • Strong Excel/Google Sheets capability
  • Comfortable with formulas & basic calculations

E-Commerce & Shopify Support (Toy Business)

  • Basic Shopify updates & tweaks
  • Product upload support
  • Minor edits to product descriptions
  • Monitoring store backend
  • Assisting with order tracking admin
  • Supporting product launch next month

Preferred:

  • Shopify familiarity
  • Understanding of product-based businesses

Email Marketing Setup & Support

  • Assisting with email marketing setup (Klaviyo preferred)
  • Newsletter formatting
  • Setting up basic email flows
  • Supporting launch email campaigns
  • Uploading blog content to website
  • Posting 2 blog posts per month
  • Formatting and distributing newsletters

Recruitment Admin Support (Sahil’s Business)

  • LinkedIn admin support
  • Basic LinkedIn automation setup
  • Recruitment admin processes
  • Supporting candidate tracking
  • CRM/data organization
  • Process automation assistance
  • General recruitment admin tasks

Preferred (Not Mandatory):

  • Recruitment industry experience
  • LinkedIn automation experience
  • CRM familiarity

Operations & Process Optimization

  • Helping streamline workflows
  • Supporting automation initiatives
  • Creating SOPs
  • Improving internal processes
  • Bringing suggestions to improve efficiency
