Role Overview:

A founder of a specialized one-person consultancy focused on science communication, serving clients in the pharmaceutical, biotech, and healthcare communications space. The business is entering a growth and systems-building phase, and this role is designed to support that transition.

The Virtual Assistant (VA) will primarily support lead generation and outbound outreach, helping build and manage a high-quality sales pipeline through research-driven, personalized communication. This is a generalist VA role with an emphasis on organization, research, writing, and consistency rather than high-volume cold emailing.

This role is ideal for someone who enjoys thoughtful research, written communication, and helping a small business grow in a strategic, ethical way.

Scope of Work:

Primary responsibilities include:

  • Lead Generation & Research
    • Research prospective clients (e.g., pharma companies, biotech startups, healthcare PR agencies)
    • Identify relevant decision-makers within target organizations
    • Find and verify professional email addresses and contact details
    • Maintain accurate lead records in a spreadsheet or CRM
  • Outreach Support
    • Assist in drafting personalized outreach emails based on provided templates and guidance
    • Customize messaging using background research on each prospect
    • Track outreach status (sent, follow-up needed, response received, etc.)
    • Maintain a follow-up schedule and ensure no leads are missed
  • Pipeline & Organization
    • Build and manage a simple lead database (Google Sheets or Excel initially)
    • Keep outreach efforts organized and transparent
    • Provide regular updates on outreach activity and pipeline status
  • Others / Secondary Tasks
    • Light social media support (research or scheduling), if needed
    • Suggest process improvements or tools based on prior experience
    • Contribute ideas for improving outreach systems or workflows

Qualifications:

  • Excellent written and spoken English (professional-level writing is essential)
  • Strong research skills and attention to detail
  • Ability to write clear, professional, and personalized emails
  • High level of organization and reliability
  • Self-motivated and comfortable working independently
  • Strong communication skills and responsiveness (asynchronous is fine)
  • Experience with lead generation, outreach, or marketing support
  • Familiarity with CRM systems or spreadsheet-based lead tracking
  • Background working with professional services, agencies, or B2B clients
  • Comfort making suggestions or sharing ideas to improve systems

Tools Required:

  • Google Workspace (Google Sheets, Docs, Gmail)
  • Excel (basic to intermediate)
  • CRM tools (experience with platforms like Moxie is a plus but not required)
  • Email tools and templates (experience welcome; training provided as needed)
  • General web research tools (LinkedIn, company websites, industry news)

Current processes are largely manual, and openness to learning or recommending tools is encouraged.

Shifts & Hours:

  • Hours: Starting with a minimum of 10 hours per week; flexible and asynchronous shift
    • Work may expand in the future as the business grows
    • Most tasks are not time-sensitive at this stage
