Executive Virtual Assistant – Email Management & Content Support

Client has a boutique, a full-service travel agency specializing in customized travel experiences worldwide, from Disney and Sandals to Iceland and luxury global destinations.

The agency operates with 14 independent travel advisors using shared CRM and marketing systems. This role will initially support Lorryn directly but has potential to expand to support the wider team as needed.

Role Overview

We are seeking a highly organized, proactive, and creative Executive Virtual Assistant to support:

  • Email management & organization (Zoho)
  • Calendar syncing & scheduling oversight
  • Light content creation (Reels, carousels, short-form videos)
  • Blog formatting & content drafting from audio dictation
  • General digital organization

This role is ideal for someone who thrives in structure, enjoys organizing inboxes, and has creative capability in short-form content editing.

CORE RESPONSIBILITIES

Email Management (Primary Priority)

Platform: Zoho Mail

  • Organize inbox daily
  • Sort emails into folders/labels
  • Flag priority messages
  • Draft basic responses when appropriate
  • Prepare inbox for Lorryn each morning (overnight organization)
  • Archive and maintain clean inbox system
  • Identify follow-ups needed
  • Maintain professional communication tone

Goal: When Lorryn wakes up, inbox is organized and prioritized.

Calendar & Scheduling Support

Tools: Zoho Calendar + Calendly (Free Version)

  • Weekly review of Calendly links
  • Sync Zoho calendar with Calendly availability
  • Ensure accurate availability settings
  • Flag scheduling conflicts
  • Maintain clean calendar organization

Blog Support (New Initiative)

  • Receive audio recordings from Lorryn
  • Transcribe and structure blog posts
  • Format content professionally
  • Edit for clarity and readability
  • Prepare blog drafts for publishing
  • Organize blog topic library
  • Suggest blog titles when appropriate

Short-Form Content Creation (Secondary Priority)

Content Types:

  • Instagram Reels
  • Carousels
  • YouTube Shorts
  • Short destination highlight videos (10–30 seconds)

Tasks:

  • Organize raw video/photos from Google Drive
  • Edit short clips together
  • Add light transitions, text overlays, captions
  • Prepare ready-to-post content
  • Deliver 1 video per week initially
  • Repurpose destination content creatively

⚠️ Posting is handled by another team member — this role is creation-focused.

Light Administrative Support (As Role Grows)

  • Assist with digital organization
  • Help streamline systems
  • Potential expansion to support travel advisors
  • Opportunity for role growth

Required Skills

Must-Have:

  • Strong written English
  • Excellent email organization skills
  • Experience with email platforms (Zoho preferred but not required)
  • Familiarity with Calendly
  • Highly organized and responsive
  • Detail-oriented
  • Comfortable working independently
  • Time zone reliability (able to work while US sleeps)

Preferred:

  • Short-form video editing experience (CapCut, Canva, InShot, Adobe, etc.)
  • Basic blog formatting experience
  • Experience with Google Drive content organization
  • Light social media content creation background

Hours & Structure

  • 10 hours per week (approx. 2 hours/day)
  • Cannot exceed 10 hours without client approval
  • Potential to increase hours as scope grows
  • End-of-day reports required
  • Bi-monthly invoicing (15th & end of month)
