Executive Assistant (Administrative VA)

  1. Administrative & Operations
  • Manage inbox and calendar, prioritize communications, and coordinate meetings
  • Maintain organized cloud storage systems (manuscripts, contracts, media assets)
  • Create and maintain structured Excel/Word tracking systems for all projects
  • Send daily updates and end-of-day reports
  1. Newsletter & Community Management
  • Curate and format newsletter content (philosophy, astrology, tarot, rituals)
  • Manage subscriber lists and segmentation (guild vs general audience)
  • Track performance metrics (open rates, engagement)
  1. Publishing & Magazine Support (Consoulic Consolations Magazine Launch)
  • Research and source stories, contributors, and talent
  • Coordinate with writers, designers, and vendors
  • Track deadlines and manage launch timelines
  • Organize manuscripts, images, and contracts
  1. Business & Logistics
  • Manage bookings (Calendly/Zoom) and prevent scheduling conflicts
  • Track inventory, shipping, and customer inquiries
  • Handle invoicing, expense tracking, and vendor coordination
  • Support ISBN applications, listings (e.g., Amazon), and publishing logistics
  1. Community & Membership Operations
  • Onboard new members and manage subscriptions
  • Monitor forums/groups and maintain engagement
  • Track renewals, cancellations, and billing cycles

Qualifications:

For Both Roles:

  • Strong communication and organizational skills
  • Ability to work independently with minimal supervision
  • Experience in virtual assistance, admin, or digital marketing

Shifts & Hours:

  • Starting at 10 hours per week per VA (part-time)
  • Flexible schedule (can be split across days)
  • Example: 2 hours/day (Mon–Fri) or flexible weekly distribution
  • Time zone alignment not required (Client is in CST)

Work Style & Communication:

  • Daily communication preferred (email or messaging platforms)
  • End-of-day reports required
  • Weekly or regular check-ins
  • Collaborative but autonomous working style
