Role Overview:
Client is seeking a proactive, detail-oriented Marketing & Community Virtual Assistant to support two complementary but distinct brands.
This role will focus on reactivating and maintaining email marketing, supporting social media execution, and strengthening community engagement. The ideal candidate is organized, AI-curious, comfortable with marketing tools, and excited to grow into a long-term role.
We are starting part-time with the intention to scale based on performance and business needs.
Scope of Work:
- Email Marketing & Newsletter Management
BRAND 1
- Relaunch and manage the “One Smart Thing” AI newsletter
- Draft newsletter content based on founder input, past issues, and AI-generated drafts
- Format and schedule campaigns in Mailchimp
- Maintain email list hygiene and basic segmentation as needed
BRAND 2
- Produce and schedule a weekly community newsletter
- Repurpose Slack conversations, marketing trends, and member insights into newsletter content
- Format and schedule in Mailchimp
- Community Management (Slack)
- Welcome new members inside Slack (copy/paste template provided)
- Encourage introductions and engagement
- Tag relevant members in response to questions
- Help surface useful resources and discussions
- Assist with increasing Slack participation from the broader email list
- Estimated time allocation: ~10 hours per week dedicated to community support (subject to refinement).
- Social Media Support
- Primary platforms:
- LinkedIn (priority)
- Facebook (optional expansion)
- Responsibilities:
- Draft posts aligned with founder voice and AI/marketing positioning
- Schedule posts via Buffer (approval workflow enabled initially)
- Use Canva templates to update graphics (text swaps, headshots, templated assets)
- Maintain a basic content calendar (Notion or Asana preferred)
- Administrative & Operational Support
- Organize content workflows in Notion or Asana
- Maintain Google Docs and shared folders
- Assist with light process documentation (SOPs)
- Identify opportunities for automation or improved efficiency
Qualifications:
- Prior experience as a Virtual Assistant, Marketing Assistant, or Community Manager
- Strong written English skills (professional marketing tone)
- Experience with Mailchimp (drafting, formatting, scheduling campaigns)
- Experience with Canva
- Familiarity with Slack community engagement
- Experience scheduling posts via Buffer or similar social media tools
- Highly organized and detail-oriented
- Comfortable working independently
- Experience supporting marketing consultants or online communities is a plus
- AI tool familiarity (ChatGPT, Claude, etc.)
- Basic understanding of LinkedIn content strategy
- Familiarity with Notion or Asana

This role will begin in a “draft & review” phase and ideally evolve into a high-trust, autonomous partnership.
Tools Required:
You should have experience (or willingness to learn quickly) with:
- Mailchimp
- Slack
- Canva
- Buffer (or similar scheduling tool
- Google Workspace
- Notion or Asana (project management)
- AI tools (access will be provided)
Shifts & Hours:
- Starting with a minimum of 20 hours per week (part-time); flexible working hours
- Work may be completed asynchronously
- Ideal setup: deliverables ready for review/approval by the start of the Founder’s East Coast (U.S.) workday
- Potential to scale to full-time based on performance and business needs.
