OVERVIEW
A proactive and experienced Executive Assistant / Social Media & Operations VA to support the day-to-day management of her coaching, speaking, training, and podcast business.
The ideal candidate is highly organized, tech-savvy, comfortable using AI tools, experienced with social media scheduling and content management, and capable of supporting business operations with minimal supervision.
KEY RESPONSIBILITIES
Executive & Administrative Support
- Calendar management
- Appointment scheduling
- Meeting coordination
- Inbox assistance and follow-up
- General executive support
- Task management and accountability tracking
- Administrative project coordination
CRM & Operations Management
- Maintain and update CRM records within Notion
- Organize business processes and workflows
- Assist with operational documentation
- Track client and prospect information
- Maintain accurate business records
- Support process improvement initiatives
AI & Productivity Support
- Utilize Claude AI for business support tasks
- Assist in implementing AI-driven workflows
- Support ongoing AI integration projects
- Help optimize systems and efficiencies
Social Media Support
- Upload and schedule content
- Publish content on Instagram and LinkedIn
- Repurpose video content into social posts
- Manage content calendar
- Organize content assets
- Basic social media administration
- Monitor scheduled content
Content Coordination
- Coordinate content received from Chloe
- Manage piece-to-camera videos
- Upload assets to editing platforms
- Organize content library
- Coordinate with editors and contractors where required
REQUIRED SKILLS
