Virtual Assistant – Admin Support, CRM Management, Video Editing & WordPress Content Upload

Client Overview

The client is a UK-based Business Coach who runs live events, coaching calls, Facebook ad campaigns, and educational content to generate leads and nurture clients. He is looking for a reliable and proactive Virtual Assistant who can support him with administrative tasks, CRM management, event setup, video editing/repurposing, and website content uploading.

This role is ideal for a highly organized VA with excellent written English, attention to detail, creative/video editing skills, and basic WordPress content management experience.

 

Core Responsibilities

  1. Email & Administrative Support
  • Monitor and manage client email communications
  • Respond to general client inquiries on behalf of the client
  • Handle appointment rescheduling requests
  • Follow up with no-show clients regarding rebooking
  • Identify and flag emails requiring the client’s direct attention
  • Maintain organized communication and inbox management

 

  1. CRM & Event Funnel Management (GoHighLevel / Genie AI)

The client runs recurring live events/webinars and requires assistance updating and managing event workflows.

Responsibilities include:

  • Update automation workflows for upcoming events
  • Modify event dates, calendar links, and booking systems
  • Update landing pages and automation sequences
  • Create/update calendar booking links
  • Assist with funnel setup and backend admin tasks
  • Follow existing SOPs/processes provided by the client

  • GoHighLevel (Genie AI platform)
  • Canva
  • Vimeo

 

  1. Video Editing & Content Repurposing

The client creates educational and promotional videos regularly and needs support with editing and repurposing content.

Types of Videos:

  1. Meta/Facebook Ad Videos
  • Short-form promotional videos
  • Clean up raw recordings
  • Remove filler words (“um,” “ah,” pauses)
  • Add captions/subtitles
  • Export platform-ready versions
  1. Authority/Educational Content
  • Edit long-form educational videos (approx. 10 minutes)
  • Create short-form clips/reels from long-form content
  • Repurpose content for Instagram Reels, LinkedIn, YouTube Shorts, and other social platforms

Tools:

  • Riverside
  • Canva
  • Basic social media formatting knowledge preferred

 

  1. WhatsApp Group Engagement Support
  • Post scheduled messages inside WhatsApp groups
  • Follow message templates/scripts provided by the client
  • Send engagement reminders leading up to live events
  • Assist during live events by posting prepared messages

 

  1. Live Event Support
  • Attend monthly live online events/webinars
  • Assist with chat engagement during live sessions
  • Post pre-written responses/messages during events
  • Maintain smooth audience interaction during sessions

Schedule:

  • Approximately once per month
  • UK afternoon hours (around 3 PM–5 PM UK time)

 

  1. WordPress Blog Upload & Formatting (NEW REQUIREMENT)

Further to the discussion, the VA will also be responsible for uploading and formatting blog articles on the client’s WordPress website using Elementor.

Responsibilities include:

  • Upload 1 article per week to WordPress
  • Input fully written content provided by the client
  • Apply formatting instructions accurately using Elementor
  • Insert internal and external links as instructed
  • Upload and position images correctly within the blog
  • Add SEO tags, titles, and metadata as provided
  • Ensure formatting is clean, structured, and publication-ready
  • Submit final draft to the client for approval (client will publish)

  • Experience with WordPress and Elementor (blog upload required)
  • Experience supporting coaches, consultants, or online businesses is a plus
