Role Overview
We are looking for a highly capable Executive Virtual Assistant to support Sara across multiple operational, strategic, and communication functions.
This is a multi-functional hybrid VA role, combining:
- Executive assistance
- Research & strategic support
- Outreach & lead generation
- Accessibility support
- Light social media support
The ideal candidate is highly proactive, detail-oriented, and able to work with minimal supervision in a fast-paced, high-level advisory environment.
Key Responsibilities
- Executive & Administrative Support
- Manage inbox and email communications
- Calendar management and scheduling across time zones (EST preferred)
- Coordinate meetings and follow-ups with global stakeholders
- Support daily administrative operations
- Research & Strategic Support (HIGH PRIORITY)
Conduct background research on:
- Companies
- Government institutions
- Potential partners
- Prepare briefing notes before meetings
- Summarize insights into structured, easy-to-read formats
- Support strategic outreach and engagement planning
- Lead Generation & Outreach Support
Support lead tracking and database management
Assist with LinkedIn outreach (messages and research)
- Use tools such as Apollo for cold outreach
- Help identify new partnership opportunities (public + private sector)
- Support relationship-building pipelines
- Accessibility & Content Conversion (CRITICAL)
Because the client is blind, accessibility support is essential:
- Convert PDFs into accessible text formats
- Extract text from inaccessible materials (images, slides, websites)
- Translate visual materials into screen-reader-friendly formats
- Assist in making documents accessible for review and decision-making
- Social Media Support (LIGHT / STRATEGIC)
- Assist in managing LinkedIn presence
- Draft and structure posts based on ideas provided
- Support storytelling and positioning content
- Ensure professional tone aligned with global leadership brand
- CRM & Systems Support
Maintain and organize Notion workspace (PRIMARY TOOL)
- Potential future support for Zoho CRM migration
- Track leads, meetings, and outreach pipelines
- Content & Communication Support
- Draft responses and refine messaging (based on client direction)
- Support creation of outreach templates
- Assist in positioning communications for stakeholders
Required Skills & Experience
Must-Have:
Strong English comprehension and writing skills
Experience as Executive VA or Research VA
Ability to work with sensitive, high-level communications
Strong organizational skills and attention to detail
- Experience with Notion
- Comfortable with research-heavy work
- Ability to summarize complex information clearly
Nice-to-Have:
- Experience with LinkedIn outreach or Apollo
- Familiarity with CRM systems (Zoho preferred but not required)
- Social media content experience (LinkedIn preferred)
- Understanding of accessibility tools or screen-reader adaptation
- Experience supporting executives or consultants
