Revenue & Marketing Operations Assistant (Virtual Assistant)

 

Overview

We are seeking a highly proactive and detail-oriented Revenue & Marketing Operations Assistant to support an award-winning event agency CEO based in Toronto, Canada.

This role is designed to drive pipeline growth, execute content, and protect the CEO’s time, enabling a stronger focus on revenue generation, client delivery, and business scaling.

This is a hybrid operations + marketing execution role ideal for someone who is resourceful, AI-savvy, and thrives in a fast-paced, growth-oriented environment.

Key Objectives of the Role

  • Build and maintain a consistent pipeline of qualified leads
  • Ensure consistent and high-quality content output
  • Protect executive time through efficient inbox and admin management
  • Support business growth through proactive execution and initiative

Core Responsibilities

  1. Lead Generation & Pipeline Support (Top Priority)
  • Build targeted lead lists via:

o LinkedIn

o Industry associations

o Events and directories

o RFP platforms

  • Identify decision-makers aligned with the Ideal Client Profile (ICP)
  • Conduct outreach preparation (LinkedIn messaging & email campaigns)
  • Track and manage leads in CRM (preferably Zoho or similar)
  • Monitor RFP portals and flag relevant opportunities
  • Prepare weekly outreach lists for execution
  • End goal: Book qualified appointments (no cold calling required)
  1. Content Execution Engine (Second Priority)
  • Convert ideas into LinkedIn posts and written content
  • Create simple, clean branded graphics (using existing assets)
  • Edit raw event footage into short-form videos (Reels, clips, etc.)
  • Assist with layout, visual presentation, and overall content quality
  • Schedule content across platforms (Zoho or similar tools)
  • Repurpose content into:

o Blog posts

o Newsletters

  • Work with an existing database of photos and videos from events
  1. Inbox & Admin Management (Time Protection)
  • Perform email triage and inbox organization
  • Label, prioritize, and filter incoming messages
  • Draft email responses for review
  • Assist with calendar coordination when needed
  • Ensure the CEO’s time is protected and optimized
  1. Presentation & Business Support
  • Assist in creating client-facing presentations
  • Support proposal formatting and visual structure
  • Ensure professional and polished outputs

Required Skills & Qualifications

  1. Lead Research & Data Gathering
  • Strong LinkedIn sourcing and Boolean search skills
  • Ability to identify ICP-aligned companies and contacts
  • Experience building clean, structured lead lists
  • Basic CRM knowledge (Zoho preferred)
  1. AI Tool Proficiency
  • Strong working knowledge of AI tools (e.g., ChatGPT, Canva, automation tools)
  • Ability to:

o Turn rough ideas into polished outputs

o Generate and refine posts, emails, and content

  • Not just copy-paste—must edit, refine, and improve outputs
  1. Content Execution (Not Strategy)
  • Basic graphic design (Canva preferred)
  • Video editing for short-form content (CapCut, Adobe Express, etc.)
  • Strong eye for layout and presentation
  • Ability to follow brand tone and direction
  • Familiarity with scheduling tools (Zoho Suite is a plus)
  1. Written Communication
  • Clear, concise, and professional writing
  • Strong grammar and attention to tone
  • Ability to adapt to the CEO’s voice and style

  • Strong inbox and task management skills
  • Ability to manage multiple tasks without errors

Work Setup

  • Initial Hours: 15–20 hours per week
  • Potential to scale based on performance and business growth
  • Timezone Requirement:

o Must match client’s timezone (Toronto) for the first 1–2 weeks

o Flexible schedule or partial overlap after onboarding
