General VA

This role focuses on organizing, vetting, and managing existing leads—not outreach or

sales execution. The VA will play a critical role in helping streamline Cindy’s workflow by

ensuring all leads are properly qualified and structured for follow-up.

Key Responsibilities

Lead Management & Qualification (Primary Focus)

  • Review and vet existing lead lists based on client-provided criteria
  • Identify and filter high-quality speaking and business opportunities
  • Organize and prepare leads for client follow-up (no outreach required at this stage)

CRM & Data Management

  • Import and organize leads into monday.com | Outpace everyone with the best AI work platform (CRM system)
  • Create and assign structured tasks within monday.com | Outpace everyone with the best AI work platform for client follow-up
  • Upload and manage lead data from spreadsheets (e.g., Tokadat exports)
  • Maintain accurate and clean records of all leads

Email Platform Management

  • Import and organize contacts into Kit (email platform)
  • Segment and prepare contact lists for future email campaigns

Research & Opportunity Sourcing

  • Researching events and decision makers
  • Review Google Alerts and identify:

o Potential speaking opportunities

o Relevant industry trends, research, and insights

  • Compile findings into organized spreadsheets for:

o Lead opportunities

o Content ideas (social media, keynote material)

Scope Clarification (Not Required for Now)

  • No cold outreach (email, LinkedIn, calls)
  • No appointment setting
  • No sales or closing responsibilities

Future Scope (Optional / Phase 2)

  • Follow-Ups and pipeline tracking
  • Proposal formatting and submission
  • Post-event follow-up
  • Organizing testimonials and social proof

Phase 3:

May evolve depending on performance and business needs:

Podcast assistance (scheduling, promotion, guest appearances)

Content repurposing

Basic social media support across:

o YouTube, LinkedIn, Facebook, Instagram

  • Light content creation:

o Simple video clips

o Graphics

o Content scheduling

  • Community engagement (comments, messages)

Required Skills & Qualifications

  • Strong attention to detail and organizational skills
  • Ability to analyze and qualify leads based on criteria
  • Experience with:

o CRM systems (preferably monday.com | Outpace everyone with the best AI work platform )

o Google Sheets / Excel

  • Comfortable handling and organizing large datasets
  • Strong research skills (identifying relevant opportunities and insights)
  • Ability to follow instructions and adapt to evolving processes

Preferred (Nice-to-Have) Skills

  • Familiarity with Kit
  • Experience supporting:

o Coaches, speakers, or personal brands

  • Basic understanding of content and social media workflows

Work Setup

  • Hours: 10 hours/week (starting)

o Potential to increase up to 15 hours/week

  • Schedule: Flexible (no time zone requirement)
  • Communication: Minimal real-time interaction required; task-based workflow

  • Leads are accurately vetted and aligned with client criteria

  • Client has a clear, actionable pipeline of leads ready for outreach
  • Research insights are relevant and useful for business growth and content
