Social Media, CRM & Executive Support

He is seeking a highly organized and proactive Virtual Assistant to support operations, streamline workflows, and help scale his content and outreach—particularly on LinkedIn.

This role will start at 10 hours per week (part-time, ongoing) with potential to expand based on performance and business needs.

Key Responsibilities

  1. CRM Management (HubSpot)
  • Clean, organize, and maintain HubSpot database
  • Identify and refine ideal target audience
  • Remove irrelevant/unqualified contacts
  • Research and add qualified leads into CRM
  • Ensure CRM is consistently updated and structured
  1. Social Media Support (LinkedIn-Focused)
  • Create content based on existing strategy (guided by client direction)
  • Assist in evolving content style and messaging
  • Design and format posts (text + light visuals if needed)
  • Schedule and publish content
  • Monitor engagement and suggest improvements
  1. Content Creation & Execution
  • Turn ideas, notes, or drafts into polished posts
  • Maintain consistency in tone aligned with leadership/speaking brand
  • Support long-term content pipeline development
  1. Lead Generation & Research
  • Research potential speaking opportunities, clients, and partnerships
  • Identify ideal prospects aligned with leadership, security, and risk industries
  • Prepare lead lists for outreach
  • (Optional) Assist with initial outreach depending on workflow
  1. Executive & Administrative Support
  • Email/Inbox management – flag key things that client needs to be aware of and respond to
  • Calendar and task management
  • Track deadlines, priorities, and “to-do” lists
  • Provide daily/weekly task reminders and planning support
  • Assist in drafting:
    • Proposals
    • Work orders
    • Business documents (using templates)
  1. Light Website Support (Low Priority)
  • Assist with minor updates if needed
  1. Email/Inbox management – flag key things that client needs to be aware of and respond to

Required Skills & Qualifications

  • Proven experience as a:
    • Virtual Assistant
    • Executive Assistant OR
    • Social Media / Digital Marketing Assistant
  • Strong organizational and time management skills
  • Excellent written English (tone, clarity, professionalism)
  • Strong communication skills
  • Ability to manage multiple priorities independently
  • Detail-oriented with strong follow-through
  • Tech-savvy and quick to learn tools

Preferred Experience

  • Experience supporting:
    • Consultants
    • Authors
    • Keynote speakers
  • Background in:
    • Leadership, security, risk, or professional services industries
  • Experience with:
    • Social media strategy execution
    • Lead generation and CRM management

Working Setup

Important Notes from Client

 

  • Immediate need due to upcoming family commitments (until mid-August)
  • Strong need for task management & accountability support
  • Content strategy exists but execution is lacking → VA will play a key role here
  • CRM cleanup and audience targeting is a high priority
  • Open to evolving the role based on effectiveness.
