Role Overview

We are looking for a Creative Content & Course Materials Design Virtual Assistant to support the redesign and modernization of educational materials for a group coaching program.

The role will focus primarily on updating and redesigning course materials, presentation slides, worksheets, and template-based marketing assets. The goal is to transform older materials into modern, clean, and visually appealing resources while maintaining ease of editing for clients.

This is a long-term, project-based role beginning at 20 hours per week, with potential for additional projects over time. Many tasks will follow existing templates and branding guidelines, allowing the VA to focus on design execution and visual improvements rather than building materials from scratch.

 

Key Responsibilities

  1. Course Materials & Presentation Design
  • Redesign and modernize PowerPoint-style slides used for group coaching programs
  • Recreate slides in Canva to ensure they remain editable and reusable
  • Maintain a clean, modern visual style aligned with the client’s branding
  • Update outdated designs while keeping content structure intact
  • Organize and format slides for clarity and ease of learning for adult audiences

 

  1. Workbook & Worksheet Creation
  • Redesign and format 50+ sets of worksheets and workbooks
  • Ensure materials are clean, easy to read, and professionally structured
  • Create editable versions in:
    • Canva
    • Google Docs (when easier for client customization)
  • Maintain consistent layout across worksheets
  • Improve formatting and visual hierarchy for better user experience

 

  1. Marketing Template Design

Create customizable marketing templates by industry that clients can easily personalize.

Examples include:

For each industry (e.g., handyman, service businesses, etc.):

  • Business card template
  • Postcard template
  • Flyer template
  • Marketing one-page graphics

Responsibilities include:

  • Designing editable Canva templates
  • Structuring templates so clients can easily replace logos and details
  • Ensuring layouts remain simple, modern, and scalable across industries

 

  1. Educational Video Modernization

Assist with updating older educational video materials by:

  • Rebuilding slide-based videos with voiceovers
  • Designing updated slide visuals for recorded audio
  • Improving overall presentation flow and visuals
  • Modernizing content created several years ago

Note:
These are primarily course videos, not marketing videos, so the focus is clarity and learning support rather than attention-grabbing edits.

 

  1. Podcast & Short Video Support (Secondary Priority)

Occasionally assist with:

  • Editing short clips from podcast recordings
  • Creating simple short-form content when needed
  • Supporting basic video repurposing tasks

This is not the primary responsibility, but helpful if the VA has experience in this area.

 

  1. Miscellaneous Design Tasks

Provide occasional support for smaller creative requests such as:

  • One-off flyer designs
  • Simple graphics
  • Minor marketing visuals
  • Small design tasks aligned with ongoing projects

These tasks will be similar in style and scope to the main projects.

 

Required Skills & Qualifications

Design Skills

  • Strong Canva design skills
  • Ability to modernize outdated materials
  • Clean, minimalist design style
  • Consistent formatting and layout creation

Content Formatting

  • Experience formatting:
    • Worksheets
    • Workbooks
    • Presentation slides
    • Educational materials

Video Editing (Basic)

  • Ability to edit slide-based videos
  • Comfortable syncing slides with voiceover audio

Organizational Skills

  • Able to manage large sets of similar assets
  • Maintain consistent design structure across multiple files
  • Strong attention to detail

 

Preferred Skills (Nice to Have)

  • Experience designing course materials or online learning content
  • Experience working with coaches, consultants, or educators
  • Familiarity with short-form video editing
  • Experience creating template-based design systems

 

Tools & Platforms

Primary tools include:

  • Canva (Primary design tool)
  • Google Docs (Worksheet formatting)
  • Basic video editing tools (for slide-based content)

All designs must remain fully editable for clients, so simplicity and usability are key.

 

Design Style Preference

The client prefers materials that are:

  • Clean
  • Modern
  • Simple
  • Easy to update
  • Not overly stylized

The goal is to avoid designs that date quickly and instead focus on timeless, professional visuals.

Project Scope

The VA will initially support two major ongoing projects:

  1. Redesigning coaching program materials
  2. Creating industry-specific marketing templates

These projects include 50+ sets of assets, making this a long-term design workload.
