Job Description: Executive Assistant (Luxury Brand & Wellness)

Role Overview: We are seeking a high-level, proactive Executive Assistant to support the founder of a luxury wellness retreat brand. This role is not just about administrative support; it is about the execution of marketing campaigns, streamlining operations, and proactive LinkedIn outreach for a high-net-worth clientele (B2B and B2C).

Key Responsibilities:

  1. Marketing Execution & Content Management
  • Video & Graphic Editing: Edit video snippets for social media and create/format graphics using Canva or AI-driven tools.
  • Social Media Management: Consistently schedule and post content across LinkedIn (Primary), Instagram, and Facebook.
  • Engagement: Manage feedback and comments on social platforms to maintain brand presence.
  1. LinkedIn Outreach & Lead Generation
  • Sales Navigator: Execute outreach strategies and manage prospect lists within LinkedIn Sales Navigator.
  • Triage: Monitor and reply to LinkedIn inquiries in a timely manner to secure discovery calls for the founder.
  1. Administrative & Systems Streamlining
  • Process Improvement: Refine and clean up DocuSign templates and internal documentation.
  • Inbox Management: Manage Outlook and G Suite, filtering junk and acting as the primary “info@” point of contact.
  • Website Support: Assist in the transition from Wix to WordPress, managing backend updates as needed.
  • AI Integration: Use ChatGPT to streamline document creation and business processes.

Technical Stack:

  • CRM/Platforms: LinkedIn Sales Navigator, WordPress, Wix.
  • Productivity: Microsoft Outlook, G Suite, DocuSign.
  • Design/Video: Canva, AI Video Tools (e.g., River, Buzz).
  • AI: Deep proficiency in ChatGPT.

Qualifications:

  • English Fluency: Must have a professional, “deep-level” command of the English language for high-level executive communication.
  • LinkedIn Expertise: Must be highly proficient in LinkedIn Sales Navigator; no learning curve is expected for the platform’s core functions.
  • Detail-Oriented: Able to “clean up” existing documents and create professional processes from scratch.
  • Adaptability: Comfortable working with a luxury brand that serves high-profile clients (doctors, executives, and high-net-worth individuals).

Position Details:

  • Schedule: Must be available to work during US Eastern Standard Time (EST) for timely lead responses.
  • Hours: Minimum 10–15 hours per week (likely to increase after onboarding).
