Role Overview:

We are seeking a Part-Time General Admin & Creative Virtual Assistant to provide ongoing support across administrative tasks, content creation, social media, CRM management, and marketing operations for a luxury-focused travel business. The ideal candidate is detail-oriented, highly organized, proactive, and able to provide creative input, especially in visual content and luxury-oriented branding.

This role supports a travel professional who values collaboration, new ideas, and a high level of refinement in both communication and content. You should be able to work independently, manage multiple platforms, and maintain consistent progress updates.

Scope of Work:

Administrative & Project Management

  • Manage and update Trello boards for tasks, projects, and workflows

  • Organize files and systems in Google Drive

  • Daily end-of-day progress emails (tasks completed, pending, follow-ups needed)

  • Weekly or twice-weekly check-in meetings via video call

CRM & Travel Tools

  • Assist with tasks inside VacationCRM

  • Export, clean, and upload contacts to ActiveCampaign

  • Support migration to GoHighLevel (potential future transition)

  • Manage Travefy-related tasks (if applicable)

Social Media Management (Creative-Focused)

  • Create luxury-aligned graphics, posts, and reels (Instagram, Facebook initially)

  • Utilize monthly content from Tami & Lou’s Content Program

  • Develop additional on-brand content when needed

  • Schedule posts across platforms

  • Monitor inboxes and DMs and send a daily summary of messages that need the client’s attention
    Note: VA will not reply directly to comments/DMs at this stage.

Platform Expansion (Future)

  • Pinterest setup, content creation & account management

  • LinkedIn management (later phase)

Marketing & Creative Assets

  • Design lead magnets, landing pages, and marketing materials (primarily in Canva)

  • Create monthly newsletters (ActiveCampaign)

  • Assist in writing and organizing new content as needed

  • Support website updates on Showit

Video & Media

  • Light video editing (reels, stories, short-form content)

Desired Qualifications:

Essential Skills

  • Strong experience in general virtual assistance and admin work

  • Skilled in Canva; able to create polished, luxury-aligned branding assets

  • Solid understanding of social media content creation (Instagram, Facebook; Pinterest a plus)

  • Experience with email marketing (preferably ActiveCampaign)

  • Comfortable with Trello, Google Drive, and content organization

  • Ability to manage landing pages, newsletters, and basic website content

Preferred Experience

  • Familiarity with travel industry tools or CRMs (VacationCRM experience is a plus, but similar CRM experience is acceptable)

  • Showit website management

  • Pinterest account management

  • Video editing for short social content

  • Experience creating content for luxury/affluent audiences

  • Highly organized and detail-oriented (“has critical eye”)

  • Proactive, communicative, and not afraid to speak up with suggestions or ideas

  • Creative, resourceful, and takes initiative

  • Comfortable working independently

  • Understands luxury branding – tone, visuals, and quality expectations

  • Minimal training needed; able to learn quickly when required

Shifts & Hours:

  • Starting with a minimum of 10–20 hours per week, depending on workload

  • Flexible working hours.

  • Must send an end-of-day report (tasks completed, pending, follow-up items)

  • With 1–2 check-in calls per week (scheduled to overlap with EST availability)
