Role Overview

We are seeking a highly creative, proactive, and strategic Virtual Assistant (VA) with strong experience in social media management, digital marketing, administrative support, and light design.
This VA will support two primary business areas:

  1. Yoga & Mindfulness Business (with partner Suzanne)

    • Yoga Teacher Training (launching end of January)

    • Annual Mindfulness & Yoga Retreat

    • Future international retreat (Costa Rica, 2027)

    • Ongoing content creation, branding, and promotional campaigns

  2. Corporate Consulting & Leadership Development Business

    • Thought leadership content

    • LinkedIn presence strategy

    • Brand-building through storytelling, education, and repurposing existing research-based content

    • Support for presentations, workbooks, and future book-launch preparation

The VA will work closely with the owner to develop and implement a cohesive content strategy across multiple platforms, streamline ongoing admin tasks, organize assets, and help structure upcoming campaigns and projects.

Scope of Work:

1. Social Media Management (Yoga/Mindfulness + Corporate Consulting)

  • Create, design, schedule, and publish content on:

    • Instagram / Facebook / LinkedIn

  • Build distinct content styles:

    • Professional, educational content for LinkedIn (leadership, consulting, OD, coaching)

    • Creative, storytelling, personal-brand content for yoga and mindfulness platforms

  • Develop weekly content calendars for all platforms

  • Write compelling captions, calls-to-action, fact-based posts, and micro-stories

  • Manage community engagement: replies, DM handoffs, comment interaction

  • Conduct basic hashtag and trend research

  • Repurpose existing blogs, articles, workbooks, and videos into social graphics or short-form posts

  • Collaborate with the client to build brand consistency and visual identity

2. Marketing Campaign Support

  • Lead the Yoga Teacher Training content campaign (January launch)

  • Build and execute a Retreat marketing strategy for the annual 2025 retreat

  • Support teaser campaigns for 2027 international retreat

  • Develop timelines, posting frequency, asset lists, and project plans

  • Work with client-supplied photos, videos, testimonials, and interviews

  • Incorporate research-based facts and data into campaign content when appropriate

  • Ensure alignment with studio branding (Charlotte Yoga) for the teacher training campaign

3. Administrative Support

  • Manage structured shared drives/Folders (Google Drive/Docs)

  • Gather, organize, and maintain all assets (photos, videos, testimonials, bios, etc.)

  • Assist in collecting content from yoga teacher trainees (e.g., 30-sec video testimonials)

  • Support email management, calendar coordination, and light database maintenance

  • Assist with organizing the 2,500-person contact list across categories/buckets

4. Website & Design Support (Wix)

  • Update Wix website pages as needed

  • Improve page structure, layout, and readability

  • Assist with SEO, newsletter features, and content formatting

  • Refresh visual design for PDFs, booklets, handouts, and presentations

  • Assist with layout/design for workshops, masterclasses, and program collateral

5. Book Project Support (Future Project) (Not immediate but relevant for ongoing work)

  • Assist with layout, marketing strategy, excerpt posting, and content planning for the upcoming book

  • Organize outlines, drafts, and assets to support long-term publishing goals

Qualifications & Experience:

Essential Skills

  • Proven experience in social media management across IG, FB, and LinkedIn

  • Strong graphic design ability (Canva required; Adobe a plus)

  • Experience building content calendars and marketing campaigns

  • Excellent writing skills – must understand tone, brand voice, and story-driven content

  • Knowledge of branding principles, color palettes, and visual consistency

  • Ability to repurpose long-form content into bite-sized, engaging assets

  • Professional communication and project management skills

  • Experience interacting directly with clients, managing approvals, and processing feedback

Bonus Skills

  • Experience in wellness, yoga, coaching, leadership, or OD-related industries

  • Familiarity with Wix website editing and SEO basics

  • Experience designing PDFs, workbooks, worksheets, or presentation decks

  • Understanding of data-driven, research-based content for corporate audiences

Tools Required:

  • Canva (strong proficiency) and / or other editing tools

  • Wix (basic to intermediate familiarity)

  • Google Workspace (Docs, Sheets, Drive)

  • Social scheduling tools (Meta Business Suite; others optional)

  • Basic video editing tools for short clips/Reels

  • Project/task management (not required but helpful)

Shifts & Hours:

  • Starting with minimum 10 hours per week; flexible shift but with some overlaps with EST timezone as needed

  • Ideal working window:

    • Must be able to meet between 7:00 AM – 8:00 PM EST, especially during onboarding

    • Schedule does not need to match U.S. time fully, but overlap for meetings and reviews is required

  • Expected heavier lift during:

    • First 1–2 weeks of onboarding

    • Yoga Teacher Training campaign (Dec–Jan)

    • High-priority project periods (New Year campaign)

Target Start Date:

Monday after U.S. Thanksgiving (approx. Dec 1, 2025)

  • Branding review + asset gathering will begin immediately upon onboarding

  • First-week priority: content launch for Yoga Teacher Training + early retreat content structure
