Key Responsibilities:
- Advanced Calendar and Time Management: Proactively manage complex calendars, schedule and prioritize appointments, meetings, and conferences across multiple time zones, and ensure optimal time utilization for the executive.
- Sophisticated Communication Management: Screen and manage executive emails and phone calls, drafting professional correspondence, prioritizing urgent communications, and acting as a primary liaison with internal and external stakeholders.
- Strategic Project Coordination: Assist with project management, track deadlines, monitor progress, assign duties, and ensure team alignment for various initiatives.
- Comprehensive Travel and Event Planning: Coordinate complex domestic and international travel logistics, including flights, accommodations, ground transportation, visas, and detailed itineraries. Plan and execute corporate events, meetings, and conferences, handling all aspects from venue selection to vendor management.
- Document Preparation and Presentation: Create, edit, and proofread high-quality documents, reports, presentations, and briefing materials, often handling sensitive and confidential information.
- Research and Information Gathering: Conduct in-depth research on various topics, compile data, analyze information, and prepare concise summaries to aid executive decision-making.
- Operational Support & System Implementation: Develop and maintain efficient office systems, data management, and filing. Assist in creating and implementing new processes and workflows to enhance operational efficiency, often utilizing project management tools (e.g., Asana, ClickUp, Monday.com, Trello).
- Financial Administration (as needed): Assist with expense reports, basic bookkeeping, invoicing, and payroll duties, ensuring accuracy and compliance.
- Personal Support (as needed): Manage personal appointments, online shopping, reservations, and other personal tasks to free up the executive’s time.
- Confidentiality and Discretion: Handle highly sensitive and confidential information with the utmost discretion and professionalism.
- Technology Proficiency: Be highly proficient with a wide range of software and tools, including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, communication platforms (Slack, Zoom), CRM systems, and various project management tools.
- Proactive Problem-Solving: Identify potential issues and proactively find solutions, demonstrating a strong sense of ownership and accountability.
